The MITRE Corporation Executive Assistant to CTO, CMO in Bedford, Massachusetts

The Office of Chief Technology Officer and Chief Medical Officer Executive Assistant will be responsible for supporting a single MITRE Senior Vice President (who fills both the CTO and CMO positions) as well as providing administrative leadership to the other 7 staff residing in the Office of the CTO, CMO. This position will execute all office administrative functions while maintaining the highest level of personal and professional standards and conduct. A successful candidate will have demonstrated recent experience providing executive administrative support for one or more executives or senior leaders within a large organization. Location for this position is Bedford, MA.

Job Responsibilities:

  • Engage with senior officials and executives from government, commercial industry, non-profits, and academia to understand requirements and secure appointment dates/times and coordinating all aspects of visits including preparing for and receiving executive-level visitors.

  • Manage and own the SVP’s calendar, ensuring time between meetings to transition whenever possible; reference the Corporate Calendar to ensure posting of important meetings/events this SVP must attend to avoid meeting conflicts.

  • Arrange for all travel coordination in support of this SVP including preparing itineraries, managing logistics, timely and accurate processing of travel documents and expense reports using Concur software, and ensuring all required processes are followed.

  • Learn the SVP’s goals to prioritize work effectively and efficiently as a strategic partner who can anticipate their requirements.

  • Plan, coordinate, and support a variety of meetings and presentations including arranging for venue, room configuration, catering, preparing agendas and other meeting materials, audio-visual needs, etc.

  • Coordinate logistics for classified meetings with Global Security Staff on room venue and configuration, connectivity to classified locations, both within MITRE and external, verification of appropriate clearance levels of all meeting attendees.

  • Maintain and follow all protocols in the handling of highly sensitive, confidential, and classified information.

  • Coordinate with Executive Admin team to support regularly occurring Officer meetings leadership meetings including preparation of agenda topics; gathering, delivering, and posting read-ahead materials; and identifying and posting action items.

  • Support Sr. Leadership meetings to include the shared responsibilities of securing VTC rooms; preparation of agenda topics; gathering, delivering, and posting read-ahead materials; taking notes during meetings; and identifying and posting action items.

Required Qualifications:

  • Bachelor’s Degree or equivalent

  • Eligibility for U.S. Federal Government security clearance

  • Ability to work collaboratively with others

  • Strong capability with Microsoft Outlook

  • Strong organization skills with attention to detail

  • Ability to work independently while interacting with MITRE and government professional staff.

  • Able to proactively assess situations and make decisions within broadly defined practices and procedures.

  • Competence in the latest mobile, desktop, and VTC technologies.

Preferred Qualifications:

  • Requires high level of poise, tact, and diplomacy in working closely, often under time pressure, with highly sensitive information, with a diverse group of executives, government officials, high-ranking military officers, customers, managers, and support personnel.

  • Superior interpersonal, written, and verbal communication skills.

  • Experience with Microsoft PowerPoint and Excel

  • Ability to effectively apply strong self-organization and time management skills, with considerable emphasis on self-initiation

  • Independent decision making, accuracy and follow through on a broad range of administrative support tasks.
