This Project Coordinator - PMP Track - II will be responsible for:
Providing advanced administrative and strategic support to implement the goals of the department as well as those of various projects
Working with leadership to monitor/ track departmental project portfolios. Developing material for communication about the department and updates for the departmental portfolio
Coordinating day to day activities of multiple projects, including preparing and maintaining project plans, project schedules, work hours, budgets, expenditures and setting up of project records systems. Ensuring projects adhere to framework and all documentation is maintained for each project. Providing administrative support as needed
Organizing, and facilitating stakeholder meetings where appropriate and distributing minutes to all attendees. Documenting and following up on important actions and decisions from meetings. Preparing any necessary presentation materials for meetings
Working with project teams to understand and assist with tracking work, task and project assignments and ensure project deadlines are met. Assessing project risks and issues and providing solutions where applicable. Determining project changes as needed
Composing, editing, and delivering written and verbal communications to key stakeholders (internal and external), Senior Leadership and associates at all levels of the organization as needed.
Developing project related deliverables with direct supervision, including improvement action plans, process workflow diagrams, PowerPoint presentations, status reports, communication plans, meeting minutes, project plans/timelines
Overseeing and facilitating the production of training materials, newsletters and other appropriate products generated by the project
Actively contributing to staff development and internal departmental process improvements.
To qualify, you must have:
A Bachelor's degree in Finance or IT related field and 1+ years’ of experience in an administrative support role and/or projects related role. Master’s degree preferred.
IT experience preferred. Understanding of system implementation phases (Requirements, Design, Development, Testing, Training, Go-Live, Support) through System Development Lifecycle (SDLC) methodologies (Waterfall and Agile) preferred
Interest towards pursuing Project Management Professional (PMP) certification or already working towards this certification preferred
Effectively coordinate the activities of employees within assigned unit/department
Technically competent with various software programs such as Word, Excel, PowerPoint, etc. Familiarity with project management software a plus.
