Wellforce Epic Communication Coordinator in Burlington, Massachusetts

The Communication Coordinator is an essential member of the Wellforce team and will inform, educate and inspire the Wellforce community concerning the system-wide implementation of an electronic health record (Epic). As one of the largest projects ever undertaken by Wellforce, effective communication will be essential to its success. The Communications Coordinator will be charged with developing strategic and effective communication plans that help employees see the long-term vision of the initiative as well as comprehend the details of its implementation.

The Communication Coordinator, under the direction of the Wellforce Communications Manager and Epic Project Director, will create new communication tactics to reach audiences across the system and utilize current member communication vehicles. At times, targeted communication plans will be needed to address specific groups and phases of implementation. This is an exciting opportunity to bring to life the plans and stories of the system’s IT transformation.

Responsibilities:

  • Develop 18-24 month communications plan for Epic implementation across Wellforce members and phases.

  • Think creatively about ways to motivate and educate diverse audiences, including leaders, Epic implementation teams, clinicians, end-users, patients, family members and others.

  • Implement communication plan, including event management, content development (such as videos, podcasts, presentations, emails, newsletters, blogs, brochures, posters, intranet copy, etc.) and other strategies and tactics.

  • Assist with change management strategies to help audiences understand the benefits of this transformation and how to adapt to changes.

  • Collaborate with communication team at Wellforce and its member organizations and its physician networks (Tufts Medical Center, MelroseWakefield Healthcare, Circle Health, NEQCA and Lowell General PHO), especially internal communications staff.

  • Work closely with Epic Project teams and cross-functional teams in health care applications, clinical informatics, health care education, health care leadership and information privacy and security.

  • Monitor and regularly evaluate the effectiveness of communications activities, adjust plan based on findings.

  • Partner with the Wellforce video producer.

  • Manage vendor relationships, including freelance writers, designers, web developers, etc.

  • Provide communications support for Epic trainings, events, education.

  • Attend Epic Project meetings and other meetings as necessary.

  • Provide communications updates as needed including communication counsel for EHR leadership.

  • Create and maintain calendars and action plans for Epic communication needs over the life of the implementation and ensure coordination with other system and member events and announcements.

Qualifications:

  • Bachelor’s degree in communications, English, journalism, marketing or related field.

  • 3-5 years of health care communications experience.

  • Knowledge of electronic health record systems and Epic specifically highly preferred.

  • Knowledge of privacy standards and regulations regarding patient data and the electronic health record.

  • An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.

  • Bachelor’s degree in communications, English, journalism, marketing or related field.

  • Excellent written and oral communications skills.

  • Comfort with/passion for information technology sector.

  • Experience with content management systems.

  • Experience with Adobe Photoshop, InDesign or other design software preferred.

  • Knowledge of change management principles preferred.

  • Excellent interpersonal skills and experience managing input from multiple stakeholders, working toward consensus and delivering outcomes that meet complex and sometimes competing needs.

  • Experience managing changing priorities and working in a fast-paced, complex environment.
