Wellforce Project Coordinator in Burlington, Massachusetts

The Wellforce Project Coordinator will actively assist in the oversight of project plan execution, communication, and other key tasks that support program goals. Sets deadlines, assigns responsibilities, monitors and summarizes progress of projects. Will also take ownership of the Job Architecture catalogue for all entities.

Responsibilities:

  • Coordinating the day-to-day activities of the project, including organizing meetings, monitoring and tracking of project deliverables

  • Works with Program Manager and maintains a tool which keeps track of the Job Architecture. This is a major initiative that requires a strong attention to detail, following up with various stakeholders, providing on-demand reports to our stakeholders and ensuring the data will be sanitized for delivery into Workday. Throughout the year, this position will be actively engaged in this project which will consume 50% of their time.

  • Manages and maintains project-related tracking tools, data dashboards, files and other tools and materials that support our Workday implementation effort.

  • Work with Program Manager to understand & assist with tracking all work, tasks & project assignments

  • Complete assigned project activities with direct supervision. Including: gather requests & schedules; maintain document control & Job Architecture tool; organize & track project activities, assignment tasks, meetings & communications; communicate with team members, stakeholders; may develop & maximize improvement plans

  • Compose, edit & deliver written & verbal communications to various stakeholders

  • Takes concise notes for meeting deliverables, action items, aged items etc.

  • With the supervision of the Program Manager, will help create test plans for various business processes.

  • Develop project related deliverables with direct supervision, including improvement action plans, process workflow diagrams, PowerPoint presentations, status reports, communication plans, meeting minutes & project plans/timelines

  • Supports regular internal and external project meetings to drive deliverables and activities forwards.

  • Provides thorough and timely customer service to project partners and stakeholders.

  • Other duties as needed or required.

  • Ability to multi-task and prioritize, work autonomously, establish timelines and meet deadlines.

    Qualifications:

  • Bachelor’s Degree from an accredited college or university in relevant field.

  • Excellent organizational skills, skills in Excel, PowerPoint, Word

  • 2-5 years’ experience in project coordination.

  • Excellent verbal, written, interpersonal, organizational and communication skills.

  • The ability to effectively coordinate the activities of the VP HR Operations (as needed) and the Program Manager.

  • High level of comfort learning and using software and technology
