Sunovion Associate Director, Project & Portfolio Management System in Marlborough, Massachusetts

Sunovion Pharmaceuticals is looking for an Associate Director, Project & Portfolio Management System to join our Research and Development (R&D) Global Project Management (GPM) team.

Data and information are strategic assets that help to maximize the value of our clinical development programs by informing decision-making, ensuring optimal allocation of resources (both funding and people) and enabling collaboration. Working with R&D teams and functional leaders, the Associate Director, Project and Portfolio Management (PPM) System is responsible for maintaining the Planisware PPM software application and data which plays a central role in this process. The Associate Director is required to maintain and manage the software, fully support workforce planning and resource management within the system, administer resource and user changes, coordinate database maintenance, support the integration of data, and support the generation of routine and ad hoc reports.

Essential Functions:

  • Managing the Process Owner Group – cross functional, cross-regional group staffed to maintain and possibly improve the Planisware PPM software over time.

  • Specific POG responsibilities for maintaining and managing:

Data integrity/stewardship

Process improvement

Standards and harmonization

System maintenance activities

Ongoing training

System enhancement activities – reports, features, upgrades

  • Supporting portfolio planning activities such as forecasting, annual budgeting, mid-term planning.

  • Maintaining the PM planning and system administration capability at Sunovion.

  • Provides a variety of essential business and resource management support services in support of the R&D business lines to enable effective management of operations.

  • Maintains and manages resource capacity, Full Time Employee (FTE) tracking and resource forecast data for applicable business customers. Drives data quality improvements to ensure resource attribute information is complete/accurate for resource management purposes.

  • Contributes to business objectives associated with the FTE Tracking Program and Replicon time-tracking system. Ensures time-tracking system meets the resource information needs of business customers. Resolves access issues and responds to customer requests concerning proper time coding practices.

  • Partners with applicable R&D functional line business representatives to support development and maintenance of FTE estimating assumptions (algorithms) for use in preparing resource demand forecasts in Planisware system (Navigate) for business planning purposes.

  • Delivers regular and ad-hoc resource reports, including FTE actual utilization and forecasted resource demand. Supports business customers with resource variance analyses through the delivery of quarterly resource reports.

  • Proactively surfaces potential resource related issues to business stakeholders based on analysis of resource data. Supports reviews and discussions to resolve resource conflicts.

  • Ensures the consistent use of data standards for estimating resource requirements and costs to support near and long-term resource planning activities.

  • Contributes to continuously improving/evolving the resource management capabilities through the delivery of robust business tools, processes and data.

Minimum Education, Experience, Knowledge and Skills Required:

  • A Bachelor’s Degree with 4-7 years of experience is required while an MBA is preferred.

  • 3 to 5 years in Finance/Strategic/Workforce Planning

  • Must have minimum of 3 years PPM Software experience

  • Past experience managing an enterprise-wide Portfolio Planning process and system.

  • Past experience with cross-functional and/or cross-regional process design, process improvement, and/or process optimization initiatives.

  • Ability to interface with functional leaders, governance, software vendors and user groups.

  • Solid understanding of the drug development business and familiarity with the operating model.

  • Working Knowledge of Project Management Principles.

  • Highly proficient and refined communication skills.

  • Demonstrated ability to establish strong partnerships and working relationships with customers; strives to understand and meet customer requirements.

  • Experience working in a collaborative team environment as well as an individual contributor, dependent on business situation and need.

  • Experience leading or owning a business process or function.

  • Has comprehensive knowledge of the principles, concepts and theories in the business operations discipline, including resource and budget management.

  • Working knowledge of relevant business and resource information systems and processes to accomplish job duties.

  • Working knowledge of relevant reporting systems and applications (e.g., Tableau, Spotfire, Excel, etc.).Ability to assimilate and summarize large data sets into consumable information for business customers.

  • Working knowledge of Microsoft Office suite (e.g., Excel, PowerPoint, Word, Outlook, etc.).

  • Acts with customer in mind; is dedicated to meeting the expectations and requirements of business customers; establishes and maintains effective relationships with customers and gains their trust and respect.

  • Manages own time to meet objectives; forecasts and plans resource requirements (e.g., people, financial, technology) for work assignments and projects. Accurately scopes out length and difficulty of tasks and projects to meet timelines; sets objectives and goals.

  • Uses a variety of communication tools and techniques to inform difficult concepts. Possesses ability to communicate business information and analyses to a variety of audiences, including senior leaders.

  • Uses logic and standard methods to solve moderately complex problems with effective solutions; probes all relevant sources for answers.
